Reduce The Amount of Paper You’re Using
The easiest way to reduce the amount of hard copy floating around your workspace is to start using the cloud capabilities on your Xerox MFP. With Xerox ConnectKey, you can link your printer to your favorite cloud services like Dropbox, Evernote, or Office 365.
Digitizing your currently existing paperwork by scanning it and uploading it to the cloud will allow for employees and management to view digital copies, often meaning they won’t need to print their own paper copies. You’ll also save precious time, since your team won’t have to dig around in dusty file cabinets for the paperwork they need—it’s always just a few clicks away.
Not all paper reduction strategies are quite so modern: don’t forget to use good old duplex printing whenever possible. Printing on both sides of the sheet effectively halves your paper consumption.
Bonus tip: ink can be saved in a variety of ways such as using draft mode for non-essential documents.
Reduce Energy Consumption With Energy-Saver Mode
There’s more than likely a good chunk of each day that nobody is in your office. Xerox MFPs have an energy-saver mode. The good news? This mode is enabled by default, so if you haven’t tinkered with the savings, you’re good to go.
It’s pretty easy to tell if energy-saver mode is working properly: the interface screen will be dark and the paper trays won’t respond when you load them with new paper.
Use Your Printer’s Security Features
While it can happen in a small business environment, mid-size and larger businesses usually have to start worrying about inappropriate uses of company printers: if this has ever been a problem in your workplace, put your Xerox MFP’s security features to work.
Of particular importance is establishing a method of user authentication, i.e., the person using the printer must have permission to do so, and how they use the printer will be recorded. This will, of course, greatly deter any unwanted use of the printer (and thus wastefulness of office resources).
